Confidentiality Policy
Article I: Purpose
The purpose of this confidentiality policy is to protect the integrity and privacy of the Virginia Local News Project (VLNP) and to ensure that sensitive information related to the organization’s operations, employees, clients, and stakeholders is safeguarded. All individuals associated with VLNP, including employees, board members, volunteers, and contractors, are required to maintain confidentiality as outlined in this policy.
Article II: Scope
This policy applies to all employees, board members, volunteers, and contractors of VLNP. Confidential information includes, but is not limited to:
- Donor and client records.
- Personnel files and employment information.
- Financial and operational data.
- Proprietary information related to programs, strategies, and internal processes.
- Any information designated as confidential by VLNP.
Article III: Policy Guidelines
- Confidential Information:
- All individuals must treat as confidential any information obtained through their association with VLNP.
- Confidential information may not be disclosed to unauthorized persons, inside or outside the organization, without prior written approval from the Executive Director.
- Use of Information:
- Confidential information must only be used for the intended purpose of supporting the mission and operations of VLNP.
- Individuals are prohibited from using confidential information for personal benefit or the benefit of any third party.
- Storage and Security:
- Confidential documents and files must be stored securely, whether in physical or digital form.
- Access to confidential information is limited to authorized personnel only.
- Disclosure:
- If an individual is required by law to disclose confidential information (e.g., through subpoena or legal process), they must notify the Executive Director to immediately to ensure appropriate steps are taken.
- Duration of Obligation:
- The obligation to maintain confidentiality continues indefinitely, even after an individual’s association with VLNP has ended.
Article IV: Violations
Any individual found to have violated this confidentiality policy may be subject to disciplinary action, up to and including termination of employment or removal from the board or volunteer position. Legal action may also be pursued if warranted.
